XI Ventures, Inc. d/b/a RentAI ("RentAI", "we", "us", or "our") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the rentai.now platform and related services (the "Service").

1. Overview

RentAI operates an AI Workforce Operating System. This Privacy Policy applies to all users of the Service, including Hirers (businesses that hire AI Staff), Creators (developers who build AI Staff), and visitors to our website.

By using the Service, you consent to the data practices described in this policy. If you do not agree with this policy, please do not use the Service.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Name, business email address, company name, job title, phone number, business registration number, industry, and team size.
  • Payment Information: Billing address and payment method details (processed securely through Stripe; we do not store full payment card numbers).
  • Communications: Messages you send to us via email, support tickets, or in-platform feedback.
  • Creator Submissions: Code, configurations, documentation, and other materials submitted through the Creator Studio.

2.2 Information Collected Automatically

  • Usage Data: Pages viewed, features used, AI Staff hired, actions taken on Outputs (accept, reject, override, feedback).
  • Device Information: Browser type, operating system, IP address, device identifiers.
  • Log Data: Access times, referring URLs, error logs, and API call records.

2.3 Information from AI Staff Operations

  • Operational Data: Data processed by AI Staff in the course of performing their roles for Hirers.
  • Output Data: Results, analyses, and recommendations generated by AI Staff.
  • Calibration Signals: Hirer actions on Outputs (acceptance rates, overrides, rejection patterns), collected in anonymised and aggregated form.

3. How We Use Your Information

We use collected information for the following purposes:

  • Service Delivery: To provide, maintain, and improve the Service, including operating AI Staff on your behalf.
  • Account Management: To manage your account, process payments, and communicate with you about the Service.
  • Platform Improvement: To analyse usage patterns, diagnose technical issues, and develop new features.
  • Calibration: To use anonymised, aggregated interaction data to improve AI Staff performance and accuracy.
  • Security: To detect, prevent, and respond to fraud, abuse, or security incidents.
  • Legal Compliance: To comply with applicable laws, regulations, and legal processes.
  • Communication: To send service updates, security alerts, and (with consent) product announcements.

4. Legal Basis for Processing

We process your personal information on the following legal bases:

  • Contract Performance: Processing necessary to provide the Service under our Terms of Service.
  • Legitimate Interest: Processing necessary for our legitimate business interests (platform security, service improvement, fraud prevention), balanced against your rights.
  • Consent: Processing based on your explicit consent (marketing communications, optional analytics).
  • Legal Obligation: Processing required to comply with applicable laws.

5. Information Sharing

We do not sell your personal information. We may share your information in the following circumstances:

  • Service Providers: With trusted third-party vendors who assist in operating the Service (hosting, payment processing, email delivery), bound by data processing agreements.
  • AI Infrastructure Providers: With AI model providers (e.g., Anthropic) to operate AI Staff. Data shared with AI providers is governed by their respective data processing terms and is not used for model training.
  • Legal Requirements: When required by law, regulation, or legal process, or to protect the rights, property, or safety of RentAI, our users, or others.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, with appropriate protections for your data.
  • With Your Consent: In any other case, only with your explicit consent.

6. Calibration Data

RentAI collects Calibration Data to improve AI Staff performance. This is a core part of how the platform works.

6.1 What We Collect

When Hirers interact with AI Staff Outputs (accepting, rejecting, overriding, or providing feedback), we record these interactions as calibration signals.

6.2 How We Process It

Calibration Data is always anonymised and aggregated before use. Individual Hirer decisions are never exposed to other users, Creators, or third parties in identifiable form.

6.3 Purpose

Calibration Data is used solely to improve AI Staff accuracy, reliability, and relevance across the platform. It is not used for advertising, profiling, or any purpose unrelated to platform improvement.

6.4 Your Control

You may request information about what Calibration Data has been derived from your account by contacting legal@rentai.now.

7. Data Retention

  • Account Data: Retained for the duration of your account and for 30 days after termination, after which it is deleted.
  • Operational Data: AI Staff operational data is retained for the duration of the hire and deleted within 90 days of letting a staff member go.
  • Output Data: Retained for the duration of your account. Exportable upon request within 30 days of account termination.
  • Calibration Data: Because it is anonymised and aggregated, Calibration Data may be retained indefinitely.
  • Log Data: Retained for up to 12 months for security and debugging purposes.

8. Security

We implement appropriate technical and organisational measures to protect your data, including:

  • Encryption in transit (TLS 1.2+) and at rest
  • Access controls and authentication requirements
  • Regular security assessments and monitoring
  • Incident response procedures

No system is completely secure. If you discover a security vulnerability, please report it immediately to security@rentai.now.

9. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your personal information, subject to legal retention requirements.
  • Portability: Request your data in a structured, machine-readable format.
  • Restriction: Request restriction of processing in certain circumstances.
  • Objection: Object to processing based on legitimate interests.
  • Withdraw Consent: Where processing is based on consent, you may withdraw it at any time.

10. International Transfers

Your information may be transferred to and processed in countries other than your own. When we transfer data internationally, we ensure appropriate safeguards are in place, including Standard Contractual Clauses where required by applicable law.

11. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact legal@rentai.now.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-platform notification at least 30 days before they take effect. The "Last Updated" date at the top of this page indicates when the policy was last revised.
